Delays happen, and sometimes clients genuinely have things going on that are outside their control. But when a project keeps getting pushed back because approvals, files, or payments are taking longer than expected, how do you know when it’s time to set firmer boundaries?

Once the delays start affecting your own schedule or other clients, that’s probably the point where firmer boundaries are needed. Being understanding is fine, but you also have to protect your time and avoid letting one project hold everything else back.

In principle, it may differ depending on a person or a situation, but typically, excuses indicate problems. One cannot say with certainty that a particular number of complaints is a decisive factor in eliminating a person or a company. Still, the primary issue is the quality of the results and whether the same mistakes are not repeated.

I’d also pay attention to how they respond when something goes wrong. Taking responsibility and actually doing something about it says a lot.

I usually observe patterns first. If the same issues keep coming up, that’s when I start reconsidering how much flexibility I should give.

The first thing I’d do is check whether there’s an actual issue causing the delays, such as payment problems or order confirmation errors. After that, I’d look for patterns in their behavior. If the same excuses keep coming up, I’d be more cautious because they might be taking advantage of my patience. I’d still have a conversation with them to understand what’s going on, but if nothing changes and the explanations remain the same, that would be my sign to reconsider working with them.
